Reporting Cadence

Regular reporting is what turns Junipa from a data entry tool into an early warning system. Schools that review their data on a rhythm catch problems early and arrive at census with confidence.

Weekly (5 minutes)

  • Glance at the dashboard. Are there any students flagged as having no recent evidence?
  • Check for new enrolments that may need to be added to NCCD tracking.

Fortnightly (15 minutes)

  • Open the evidence log and filter by the last two weeks.
  • Confirm that all tracked students have at least one entry in the period.
  • Follow up with any teachers or case managers who have gaps.

Monthly (30 minutes)

  • Run the audit report for the current month.
  • Review the evidence density chart — look for students below the minimum threshold.
  • Check that disability categories and adjustment levels are still accurate.
  • Review any flagged students (incomplete profiles, missing case managers).

Termly (1 hour)

  • Run a full-term audit report.
  • Review plan coverage — are all tracked students covered by a current plan?
  • Check for plans with overdue review dates.
  • Generate a summary for leadership or governance reporting.
  • Update adjustment levels for any students whose needs have changed.

Pre-Census (July, 2 hours)

  • Run the full audit for the census period (August to August).
  • Identify any students with fewer than the recommended number of evidence entries.
  • Confirm all student profiles are complete (category, level, case manager).
  • Generate provisional census numbers and compare against the previous year.
  • Address any gaps with a targeted evidence collection push in the remaining weeks.

Using the Dashboard Effectively

The Junipa dashboard surfaces key metrics at a glance:

  • Students tracked — total students in your NCCD cohort
  • Recent evidence — entries added in the last 14 days
  • Evidence gaps — students with no evidence in the last 30 days
  • Plan coverage — percentage of tracked students with a current plan

Make the dashboard your starting point each time you open Junipa. If the numbers look healthy, you can move on. If something is off, dig into the detail.

Automating Follow-Ups

Rather than manually chasing staff, use the data to drive conversations:

  • Share the evidence gap list at your next learning support meeting
  • Email case managers a brief summary: "These three students need entries this fortnight"
  • Include evidence density in your regular staff briefing

The goal is to make the data visible, not to create extra administrative burden.

The reporting cadence that works is the one you actually follow. Start with monthly reviews and add frequency as it becomes habitual. A perfect schedule that nobody uses is worse than a basic one that sticks.
