Requesting Signatures on a Plan
When a plan template includes an electronic signature field, you can send signature requests directly from the plan editor. Recipients receive a secure link via email and can sign from any device — no Junipa account required.
Opening the Signature Request Form
- Open the student's plan in the Plan Editor.
- Scroll to the Electronic Signature field (e.g. "Parent/Guardian Consent").
- The field shows the current status:
- Not Requested — no signature has been requested yet
- Pending / Awaiting Signature — a request has been sent but not yet signed
- Signed — the signature has been collected
- Click Request Signature to open the request form.
Choosing a Recipient
You have two options: select an existing contact already linked to the student, or add a new person.
Option 1: Existing Student Contact
Use this when the person you need a signature from is already recorded as a contact for the student (e.g. a parent or guardian added during enrolment).
- Select the Existing Contact tab.
- A list of the student's current contacts appears, showing:
- Contact name
- Contact type (Guardian, Medical Professional, etc.)
- Email address
- Click on the contact to select them.
- Their name, email, and relationship are automatically filled in.
Student contacts are managed in Administration > Students > [Student Name] > Contacts. If a guardian's email address is missing, update it there first.
Option 2: New Person (Not in Junipa)
Use this when the signer is someone not yet linked to the student — for example, an external medical professional, a specialist, or a new guardian.
- Select the New Person tab.
- Fill in the required fields:

- Add to student record — tick this checkbox to save the new person as a permanent contact for the student. This means you won't have to re-enter their details next time.
Contact Types

Selecting the Delivery Method
Choose how the signing link will be delivered:
- Email — sends a secure link and 4-digit PIN to the recipient's email address. They sign online from any device. This is the most common method.
- In Person — for situations where the signer is physically present (e.g. at a parent-teacher meeting). The plan is displayed on a shared device and the signer draws their signature directly.
Adding a Reason (Optional)
You can provide a brief reason for the signature request. This is shown to the recipient in the email and on the signing page. For example:
- "Annual review of adjustments for the upcoming semester"
- "Consent required for updated health care strategies"
If left blank, a default reason is generated based on the plan and request type.
Submitting the Request
Click Send Request to create the signature request. Here's what happens:
- A unique signing link and 4-digit security PIN are generated.
- If the delivery method is Email:
- An email is sent to the recipient with the signing link, PIN, document name, and expiry date.
- The request status changes to Sent.
- If you selected a new person and ticked "Add to student record":
- The contact is saved to the student's contact list for future use.
- The signature field on the plan updates to show the current request status.
Common Scenarios
Scenario 1: Parent Consent on an IEP
A teacher creates an IEP for a student. The template has a "Parent/Guardian Consent" signature field.
- Open the plan, click Request Signature on the consent field.
- Select the Existing Contact tab — the student's mother is already listed as a Guardian.
- Select her, choose Email delivery.
- Click Send Request.
- The parent receives an email, clicks the link, enters the PIN, reviews the plan, and signs.
Scenario 2: Medical Professional Sign-off
A Health Care Plan requires sign-off from the student's paediatrician, who is not yet in the system.
- Open the plan, click Request Signature on the medical sign-off field.
- Select the New Person tab.
- Enter the paediatrician's name, select Medical Professional as the contact type, and enter their email.
- Tick Add to student record so they're available for future plans.
- Choose Email delivery and click Send Request.
- The paediatrician receives the email, signs online, and the plan is updated.
Scenario 3: In-Person Signing at a Meeting
A parent is present at a meeting and can sign immediately on a tablet.
- Open the plan, click Request Signature on the consent field.
- Select the parent from Existing Contacts.
- Choose In Person delivery.
- Click Send Request — the signing interface opens immediately on-screen.
- The parent draws their signature on the device and submits.
What the Recipient Sees
For email delivery, the recipient receives an email containing:
- The document name (e.g. "Individual Education Plan")
- The school name
- A reason for the request (if provided)
- A Review Document button that opens the signing page
- A 4-digit security PIN required to access the signing page
- The expiry date for the link (default: 7 days)
- Contact information if the recipient has questions
On the signing page, the recipient:
- Enters the 4-digit PIN.
- Reviews the document details and signer information.
- Ticks the required acknowledgement checkboxes (e.g. "I have read and understand this plan").
- Signs by drawing their signature or typing their name in a chosen font style.
- Clicks Sign Document to submit.
No Junipa account is needed. The entire process takes place through the secure link.
