External Plans
External Plans are for support plans that already exist outside Junipa. The source might be a Microsoft Word file, Google Document, or PDF. Junipa keeps that source plan with the student record and lets staff define the relevant support as planned adjustments.
Use External Plans when the school needs to keep the original document visible, but also wants the adjustment details to appear in Junipa reports, student profiles and review workflows.
When to use an External Plan
Use this workflow for:
- a plan supplied by another system, provider or school process
- a Microsoft Word plan that the team already uses
- a Google Document exported or saved for the student record
- a PDF plan that should remain attached as evidence
- a source plan that contains adjustments Junipa should track
Do not use External Plans to duplicate a plan that was already built in Junipa. If the plan lives in Junipa, keep using the Junipa plan workflow.
Add the source plan
- Open the student's record.
- Go to the student's files or documents area.
- Add the Microsoft Word, Google Document, or PDF source file.
- Set the document type to External Plan.
- Add the review date if the plan has one.
- Save the document.
The source file remains attached to the student record so staff can open it later.
Define planned adjustments from the source
After the External Plan is attached, identify the adjustment detail in the source plan and record it as a Junipa planned adjustment.
For each adjustment, capture:
- what support is being provided
- the adjustment area or category
- the review timing
- who is responsible for the support
- whether the source plan should remain linked to the adjustment
The goal is not to rewrite the whole document. Record the practical adjustment detail Junipa needs, then keep the source file connected for context.
Good External Plan records
A useful External Plan record should answer:
- Where did the source plan come from?
- Which file should staff open if they need the original wording?
- Which adjustments from that source plan are active in Junipa?
- When should the plan or adjustment be reviewed?
- Who should follow up if the support changes?
Use plain file names and clear adjustment wording. A colleague should be able to understand the support without already knowing the student's backstory.
