Signing a Document

This guide is for recipients — parents, guardians, medical professionals, or other stakeholders who have received an email asking them to sign a document electronically.

No Account Required

You do not need a Junipa account to sign a document. The entire process is completed through the secure link in your email.

Step 1: Open the Email

You will receive an email from the school containing:

  • The name of the document that requires your signature
  • A Review Document button
  • A 4-digit security PIN
  • The expiry date for the signing link

Keep note of the PIN — you will need it in the next step.

Step 2: Verify Your Identity

Click the Review Document button in the email. You will be taken to a secure signing page showing the school's name and branding.

Enter the 4-digit PIN from your email. The page will automatically proceed once all 4 digits are entered.

If you enter the wrong PIN:

  • You will see an error message.
  • You have 5 attempts before the PIN is locked.
  • If locked, contact the school to request a new signing link.

Step 3: Review the Document

Once verified, you will see:

  • The document name and relevant details
  • Your name and relationship to the student
  • A document summary
  • Acknowledgement checkboxes that must be ticked before signing

Read each acknowledgement carefully and tick the required checkboxes.

Step 4: Provide Your Signature

Choose one of two methods:

Draw Your Signature

Select the Draw tab and use your mouse, finger, or stylus to draw your signature in the canvas area. Click Clear to start over if needed.

Type Your Signature

Select the Type tab, enter your full name, and choose a signature style from the available font options. A preview of your typed signature appears below.

Step 5: Submit

Once you have ticked all required checkboxes and provided your signature, click Sign Document.

You will see a confirmation that your signature has been recorded. You can close the browser window — the school is notified automatically.


Frequently Asked Questions

Is my electronic signature legally valid?

Yes. Electronic signatures collected through Junipa comply with the Electronic Transactions Act 1999 (Cth) and applicable state and territory legislation.

What information is recorded?

For security and compliance, the following is recorded:

  • Date and time of signing (with timezone)
  • Your IP address
  • Browser and operating system
  • Device type and screen resolution
  • The acknowledgements you ticked

My PIN isn't working

If you've entered the wrong PIN too many times, it may be locked. Contact the school and ask them to resend the signing request with a new PIN.

Signing links expire after a set period (typically 7 days). Contact the school to request a new link.

Can I sign on my phone?

Yes. The signing page works on phones, tablets, and desktop computers. You can draw your signature with your finger on a touchscreen device.
