Student Files

Student Files gives administrators a school-wide view of files connected to student records. Use it when you need to find a document, check how it is categorised, or open the related student journal without searching student by student.

What you can review

Student Files can help you check:

  • the student attached to a file
  • the file name and document type
  • whether the file is linked to a plan or adjustment
  • when the file was added or updated
  • whether the file has restricted access
  • the action available for opening or reviewing the file

Use filters when the list is long. Start with the file type, linked plan, student, or updated date.

Open a file from the workspace

  1. Open Administration.
  2. Open Student Files.
  3. Search or filter to find the file.
  4. Open the file details.
  5. Use the student link to return to the student journal when you need the surrounding context.

The file list is a review workspace. The student record remains the place to understand the full support history.

Use clear file categories

Choose a category that describes the school record, not a temporary workflow. Useful categories include plans, consultation records, work samples, medical documents, assessment material and external reports.

Avoid vague categories when a clearer category exists. A future staff member should be able to tell why the file was kept.

Access and sharing

Only share files with people who should see the student information. If a document contains sensitive details, check the file access settings and the student's support team before sharing a link.
